Specifications are not intended to reflect all duties performed within the job. SUMMARY Proposal Coordinator (PC) assumes primary responsibility for production and delivery of proposals. Coordinates with Proposal Manager and Director of Business Development & Strategy on all facets of proposal preparation from pre-proposal through final submission. Responsible for assisting in the analyzing of proposal requirements. Coordinates with team members utilizing RFP requirements for proposal preparation. Responsibilities include creating and monitoring appropriate files, word processing and graphic requirements and final delivery of proposal documents. Accountable for the preparation of proposals to ensure all factors are properly considered, scheduled, priced and included in the proposal documents. Assists in determining necessary resources for proposal preparation and works with the project team during all phases of proposal production. Must have intermediate to advanced level with Microsoft Office software suite, interpersonal and communications skills both verbal and written. Works under general supervision. Performs other relevant duties as assigned by Proposal Manager, SBU Sales Director (s) or Director of Business Development & Strategy.

| ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
- Post Pre RFPs, RFPs, and amendments to the server after Go/No Go decision
- Inform Business Development partners of amendments and where they are located
- Coordinate the proposal development effort
- Monitor proposal pacing and schedule
- Recommend and guide proposal preparation techniques
- Coordinate various support functions (pricing, subcontracts, contracts, clerical support)
- Coordinate word processing and graphics requirements
- Maintain the files for the master and backup proposal, and backup copies of textual/graphic materials
- Review output for correct file identification/structure
- Review and guide draft preparations to assure adherence to outlines, themes, and RFP requirements
- Provide copies of changes to the Volume Leads and individual authors
- Coordinate conference calls
- Assist in drafting portions of the proposal (e.g., introductions, related experience, resumes, etc)
- Ensure consistency of spelling, punctuation, abbreviation, and grammar
- Maintain proposal supplies
- Determine the need for and provide disclaimers or special markings for proposal material documents and delivery packages
- Assemble and coordinate the review process and provide follow-up
- Monitor page allocations and assist with editing requirements
- Determine graphic sizing and layout
- Coordinate and direct proposal publication through printing
- Coordinate preparation of the letter of transmittal and final proposal signoff
- Coordinate final production, book-check, QA, delivery logistics, proposal packaging and final shipment
- Ensure internal distribution and filing requirements are met
- Coordinate logistics and requirements for all meetings, including review productions
- Research corporate systems for information needed in the proposal as well as tracking down and/or interviewing staff to obtain information to include resumes, past performance and the like
- Provide writing support
- Interface with subcontractors to obtain required information Ability to coordinate company operations with RFP requirements
- Maintain the Proposal Library
- Other duties as assigned
QUALIFICATIONS Education and Experience Minimum of 5 years of construction, service contract, administrative or proposal preparation experience or an AAS in Business or related field and 4 years experience of equivalent construction, service contract, administrative or proposal preparation experience required. Experience in the US Government Federal Sector Services/IT/Training/Construction sectors is a must. Must have experience working with contracting officers, contractors, project sites, and contract management personnel. Skills, Knowledge and Abilities
- Familiarity with FARs and SBA ANC requirements
- Competent in use of Microsoft Office Suite
- Knowledge of Visio and In-Design a plus.
